-
Adherence to current legislation. It is the responsibility of the organisation submitting the vacancy to ensure that each advertisement placed is fully compliant with current employment legislation including the Equality Act 2010 and that all information is correct.
-
We reserve the right to refuse to advertise a vacancy, or to withdraw or cancel an advert entirely at our discretion. We will remove any advert that we consider contravenes our terms and conditions.
-
We may promote your opportunities via social media (X (formerly Twitter), Facebook, Careers Blog) and via student newsletters without informing you of these communications.
-
We will try to establish that organisations registering with us are legitimate organisations offering genuine work opportunities for our students and graduates; if we are unable to gather sufficient evidence for this purpose the organisation and its vacancies will not be processed.
-
The University of Reading will make reasonable efforts to identify and query any potential errors or concerns in submitted vacancy advertisements. However, it remains the sole responsibility of the submitting organisation to ensure that all vacancy content is accurate, lawful, and fully compliant with these Terms and Conditions and all applicable legislations. The University accepts no responsibility or liability for the content, accuracy, or legality of any vacancy posted.
Key restrictions
- We do not advertise roles based in the UK that offer a wage below the UK National Minimum Wage, in accordance with statutory requirements. Employers may set wages based on age-related minimum wage rates or choose to pay all workers the National Living Wage. We encourage employers to offer the National Living Wage where possible.
- For roles based outside of the UK, please refer to our section on ‘International Opportunities’ for further guidance.
- We do not advertise roles that are commission only.
- We do not advertise roles where students are employed by a private individual or household (see 'Private employment' below).
- We do not normally advertise roles where students are required to make any form of payment.
Unpaid Vacancies
We receive a high volume of vacancies every day, most of which are paid and offer at least the adult minimum wage.
Whilst we appreciate organisations regularly look to offer "work experience" for our students, either a short term project or a few hours a week for example, The Careers Centre has the responsibility to ensure that any unpaid opportunities we promote to our students are fair and valuable sources of work experience and not just "unpaid work". Therefore, we reserve the right to refuse the promotion of unpaid opportunities which are:
- Promoted by anyone other than registered charities or voluntary groups.
- Require students to make any form of payment.
- Actual job vacancies which would normally be filled by a permanent or temporary member of staff (e.g. data input, telesales, admin work, filing, market research.
- Ongoing (e.g. 20 hours a week for 3 months or longer term, placement years)
We understand that specific sectors traditionally offer unpaid experience in order for students to gain a foothold in the industry, e.g. media and arts, however, we review each unpaid opportunity on a case by case basis.
Private employment
We can only advertise home based support for individuals in receipt of Direct Payments or a personal budget from the local council, for which you must provide evidence by way of a recent letter from your direct payments / personal budget team worker. The roles advertised by Direct Payment holders may include personal assistants, carers, tutors, cleaners and gardeners, for example. If you cannot provide evidence, unfortunately we will not be able to advertise your position.
Guidelines for submitting vacancies
We can only advertise home based support for individuals in receipt of Direct Payments or a personal budget from the local council, for which you must provide evidence by way of a recent letter from your direct payments / personal budget team worker. The roles advertised by Direct Payment holders may include personal assistants, carers, tutors, cleaners and gardeners, for example. If you cannot provide evidence, unfortunately we will not be able to advertise your position.
Organisations are responsible for uploading their own opportunities; however, all submissions will be reviewed by the Careers Centre prior to publication of the opportunity on MyJobsOnline. Should any clarification be needed, we may reach out to the organisation directly.
- Text limit - MyJobsOnline limits the text for opportunity descriptions to 1500 words; the system will generate an error message if you exceed this word count. If you have further documents and text, please consider hosting these on your organisation's website and linking back to it.
- Closing dates - Please provide a closing date for your vacancy. If there is no closing date, we will advertise the vacancy on the website for 12 weeks. This can be extended if required via the MyJobsOnline login. Please note that we operate a minimum advertising period of nine working days from the date the vacancy is submitted to us. This is in order to provide you with the best prospect of attracting interest in your opportunity and to allow applicants appropriate time to view it and prepare a proper application.
- Contact details - Please provide full contact details including postal address, email address and phone number. You can specify admin only contact details and student application details with your MyJobsOnline profile.
- Editing your opportunities - Vacancies are listed on a closed access website, i.e. are accessible only by University of Reading students and recent graduates. You are able to update your vacancy listings via the MyJobsOnline login. Please ensure that you provide contact details or a link to your website for full job descriptions, person specifications and application forms. Please do not submit vacancies in capital letters.
- Term-time working hours - As part of a University-wide policy, The Careers Centre will not advertise part-time jobs that require students to work more than 20 hours a week during term time. This is because we do not want students' work to interfere with their studies.
- Placements - Please note that schools and departments within The University may have additional criteria for placement opportunity providers, especially those offering 12-month placements; an approval of a placement opportunity by The Careers Centre does not infer an endorsement of the full criteria a school or department may require. Please ensure you discuss this with students prior to making a recruitment decision or contact us for guidance.
- Multiple postings - In an effort to keep the list as broad and varied as possible, we reserve the right to reject multiple vacancy postings.
- Careers Centre turnaround of vacancies - Vacancies submitted will not automatically appear on the website. Organisation registrations and vacancy postings are proofread and approved by a member of staff. We aim to approve all vacancies within two working days of receiving them, exceptionally within three working days.
- Accessibility - We recommend that all job adverts submitted to MyJobsOnline follow accessibility best practice. This includes using plain, inclusive language, providing clear and concise descriptions, and formatting content to ensure readability for all users.
- Self-employment/freelance - we will advertise self-employed positions which are based on a skill set which students can use with more than one client. We reserve the right to reject those we do not consider to be in the best interest of our students. Any freelance opportunities advertised through MyJobsOnline will have a ‘freelance statement’ added by the Careers Department. Students on a Student Visa are not allowed to work on a self-employed/freelance basis. Employers must apprise themselves of the latest obligation and further information is available at: www.ukba.homeoffice.gov.uk/business-sponsors/preventing-illegal-working/
- Right to work in the UK – Opportunities based in the UK will normally require applicants to have the Right to Work in the UK, we would encourage employers to phrase vacancy advertisements in the following way: ‘The successful candidate must have permission to work in the UK by the start of their employment,’ rather than using statements like ‘must be able to/have permission to work in the UK.’
Note to recruitment agencies
The Careers Centre will only post adverts for specific vacancies. We do not run generic adverts for recruitment agencies. If you wish to advertise a vacancy but do not want to publicise the name of your client, we are happy to run adverts without this information. However, you must divulge the name of your client to the Careers service when you submit a vacancy.
International vacancies
All international opportunities listed on our platform must comply with the local employment legislations and regulations of the respective country in which the opportunity is based, including but not limited to minimum wage laws, working hours, health and safety standards, and employee rights. Employers are encouraged to research the relevant guidelines and requirements set by the Foreign, Commonwealth & Development Office (FCO) to ensure full compliance with international employment standards. Additionally, students applying for international opportunities will also be encouraged to research the FCO guidelines to better understand the legal and cultural context of working abroad, including the need to obtain a visa if required. It is the responsibility of the employer to ensure that all terms of employment align with the legal requirements in the location where the role is based.
Please note that schools and departments within The University may have additional criteria for placement opportunity providers.
All international vacancies advertised through MyJobsOnline will include an ‘International Opportunities Statement’ added by the Careers Department.
If an organisation is based overseas but the role involves the student working remotely from within the UK, this is likely to be considered as working in the UK. As such, the position must comply with UK employment legislation, including payment of at least the applicable National Minimum Wage or National Living Wage.
Common grounds for rejecting an organisation
Some common reasons include:
- No business email address is provided (e.g. Gmail or Windows Live address is given).
- No website address is provided (this makes it difficult for the University and its students to research and verify the organisation).
- The closing date supplied (i.e. the minimum advertising period) is less than nine working days from the date of the vacancy submission.
